Auto Approve Task Type Example

This task requires System Access to the Task Manager in the System area in Setup.

The Auto Approve task type is used to approve a total number of specific work code requests within the parameters defined. This task approves a certain number of requests per day, and does not run Dynamic Issue rules prior to approving a request.

For example, if only three vacation work codes can be approved per day and the target date has two out of five vacation work code requests already approved, then the task will only approve one more vacation request for a total of three.

Note:

Running the same task on the target date after reaching the task’s approval limit will return zero approvals. If the desired outcome is to allow for three more work code approvals, create another task and add three more to the previous task’s number for a total of six.

  1. Go to the Task Manager in the System area in Setup to create a new task.
  2. Click Add
  3. Enter a name for this job in the General tab.
  4. Leave the remaining and default settings as is.
  5. Click the Task tab to create a task.
  6. Enter a name for this task in the Task tab. Generally, the same name provided in the General tab is used here.
  7. Select Auto Approve from the Task Type drop-down.
  8. Type the resulting number of approvals per date in Maximum number to approve per day.

    This is not the number to be performed by the task. This is the total number across all of the work codes in consideration including work codes already approved on the Roster for the target date.

    Valid formats...

    • Positive whole numbers: For example, a value of three would approve until three exist.
    • Percent: A positive decimal must be less than one. Rounds down -no more than. For example, .62 would approve until 62% of the Consider these work codes exist. For example, if ten work code records exist, the resulting approval maximum is six work code records.
  9. Set your From Date* and Through Date* values. Use Dynamic Dates to target a date range. Dynamic Date entries are case sensitive. Some examples below:
    • To target the next two days, type TODAY+1DAY in From Date. Type TODAY+2DAYS in Through Date.
    • To target the seventh day in the future plus an additional 7 days out, type TODAY+7DAYS in From Date. Type TODAY+13DAYS in Through Date.
  10. Select how to process and sort the records in Approval mode. Choices are:
    • By Request Date
    • By Promotion Date
    • By Hire Date
    • By Seniority Number
  11. Select one or more work codes from the Consider selected Work Code drop-down. The task returns all of the selected work codes which includes approved and request work code statuses. None Selected returns work code requests for all of the Shifts listed.

    The selected work codes contribute to the maximum number to approve per day limit. Subsequent fields in this task determine where and which work codes will be automatically approved.

  12. Select one or more agencies from the Consider selected Agency drop-down. Only the target set of work codes associated with the selected Agency will be considered.
  13. Select one or more regions from the Consider selected Region drop-down. Only the target set of work codes associated with the selected Region will be considered.
  14. Select one or more stations from the Consider selected Station drop-down. Only the target set of work codes associated with the selected Station will be considered.
  15. Select one or more units from the Consider selected Unit drop-down. Only the target set of work codes associated with the selected Unit will be considered.
  16. Select one or more shifts from the Consider selected Shift drop-down. Only the target set of work codes associated with the selected Shift will be considered.
  17. Select one or more ranks from the Consider selected Rank drop-down. Only the target set of work codes associated with the selected Rank will be considered.
  18. Select one or more specialties from the Consider selected Specialty drop-down. Only the target set of work codes associated with the selected Specialty will be considered.
  19. Select one or more groups from the Consider selected Group drop-down. Only the target set of work codes associated with the selected Specialty will be considered.
  20. Select an institution from the Limit to Institution drop-down to limit work code approvals to the selected institution only. <none selected> considers work code approvals across all institutions.
  21. Select the Deny remaining requests check box to enable this application to flag the remaining requests as denied. Clear the check box to keep the remaining unapproved work codes requests as requests.
  22. Type a note for the application to insert when a work code is denied via the Deny remaining requests function above.
  23. Click Save.
