Auto-Assign Task Type Example

This task requires System Access to the Task Manager in the System area in Setup.

The Auto-Assign task type is used to automatically fill, assign, and commit personnel to a job vacancy. See Auto-Hire task type to “offer” a job vacancy.

Note:

The auto-assign task runs Fill By Rules to staff each vacancy independently, and it is possible for the Auto-Assign task to return a completed job without staffing a vacancy. This occurs when the Fill By Rules list returns zero candidates; or the List associated with the Auto-Assign task does not have Allow Outbound and Automatically Assign selected on the Outbound tab of the List.

  1. Go to the Task Manager in the System area in Setup to create a new task.
  2. Click Add
  3. Enter a name for this job in the General tab.
  4. Leave the remaining and default settings as is.
  5. Click the Task tab to create a task.
  6. Enter a name for this task in the Task tab. Generally, the same name provided in the General tab is used here.
  7. Select Auto Assign from the Task Type drop-down.
  8. Select one or more shifts from the Limit to Shift drop-down to fill vacancies for the selected shifts. None Selected fills vacancies across all shifts.

    To build the Roster and set the appropriate number of vacancies for Auto-Assign, you must select all shifts associated with a Roster Count Alarm. Additionally, when Shift Merge is present, all shifts associated with a shift merge including the shift that binds a group of shifts must be selected as part of the task parameters.

  9. Select one or more regions to fill vacancies in the selected regions. None Selected fills vacancies across all regions.
  10. Select the Rebuild after each vacancy is filled check box to fill vacancies up to the minimum number set by your staffing levels (Roster Alarms). For example, suppose Unit 1 displays two vacant positions, but only one position is required to meet your minimum staffing levels. Selecting this check box rebuilds the Roster after each vacancy is filled to determine whether or not the subsequent vacancy requires staffing. The Roster rebuilds at the beginning of the day, and evaluates vacancies from the top down to determine if anything has changed. For instance, suppose you have one hundred vacancies, 1 through 100, to fill. Based on configuration requirements and priorities set, the application returns and fills vacancy #75. After this fill, the application starts back at the top which happens to be vacancy #1 not #76.

    Overstaffing is possible if this check box is unchecked.

  11. Set From Date* and Through Date* values. Use Dynamic Dates to target a date range. Dynamic Date entries are case sensitive. Some examples below:
    • To target the seventh day in the future, type TODAY+7DAYS in From Date. Type TODAY+7DAYS in Through Date.
    • To target tomorrow and the next day, type TODAY+1DAY in From Date. Type TODAY+2DAYS in Through Date.
  12. Select <none> in the List Chain drop-down to use the default List Chain for the target date, and time; or select a specific List Chain from the drop-down to override the default List Chain.
  13. Select Auto-Assign from the List Category drop-down.
  14. Select Accepted in Call Outcome to commit the candidate.
  15. Select the Split Vacancy check box if a vacancy with a split duration may be staffed by a different candidate.
  16. Select an institution from the Limit to Institution drop-down to limit vacancy fills to the selected institution only. <none selected> will fill relevant vacancies across all institutions.
  17. Click Save.
