Auto Fix Vacancies Example

This task requires System Access to the Task Manager in the System area in Setup.

Use the Auto Fix Vacancies task type to lock vacancies on the Roster and optionally enable vacancy flags. This task is used to post vacancy flags for special event working opportunities on the personal Calendar and the Dashboard.

Important: This task locks vacancies in place and will not suppress remaining vacancies when the minimum staffing count is met. It is very important that this task does not fix vacancies that contribute towards a minimum staffing requirement to avoid over staffing.

  1. Go to the Task Manager in the System area in Setup to create a new task.
  2. Click Add
  3. Enter a name for this job in the General tab.
  4. Leave the remaining and default settings as is.
  5. Click the Task tab to create a task.
  6. Enter a name for this task in the Task tab. Generally, the same name provided in the General tab is used here.
  7. Select Auto Fix Vacancies in Task Type.
  8. Set your From Date* and Through Date* values. Use Dynamic Dates to target a date range. Dynamic Date entries are case sensitive. Some examples below:
    • To target the second day in the past, type TODAY-2DAYS in From Date. Type TODAY-2DAYS in Through Date.
    • To target the next two days, type TODAY+1DAYin From Date. Type TODAY+2DAYS in Through Date.
    • To target the previous three days, type TODAY-3DAYS in From Date. Type TODAY-1DAY in Through Date.
    • To target tomorrow’s date, type TODAY+1DAY in From Date. Type TODAY+1DAY in Through Date.
  9. Select one or more shifts to return vacancies for the selected shift. None Selected auto fixes vacancies for all of the Shifts listed.
  10. Select none, one, or more of the following options from the Vacancy Flags drop-down:
    • Calendar - features a Vacancy Flag for potential candidates on the Calendar and the Dashboard. A red (c) appears next to the vacancy on the Roster to denote the Vacancy Flag function is enabled.
    • Sign-up - enables users to indicate a preference to work the selected vacancy using the sign-up code’s Where feature. A red ampersat (@) symbol appears next to the vacancy to denote the Sign-up function is enabled.
    • Self-Fill - enables qualifying candidates to create an assignment for themselves to work the selected vacancy on a first come first serve basis. A red dollar sign ($) appears next to the vacancy to denote the Self-Fill function is enabled.
    • None - Clear all of the check boxes to indicate no vacancy flags.
  11. Click Save.
