Work Code: Cover Field Descriptions

This area allows personnel to select a working replacement when taking time-off. Depending on the configuration, a cover person may be optional, required, or not allowed. This section is typically used to configure shift trades, but not limited to shift trades. Additionally, several static issues can prevent a trade depending on their severity level configuration, so while a user can pass a period restriction static issue for example, there are other static issues that can prevent a trade, for instance: Critical cover specialties do not match; Invalid cover person; Invalid cover code, and so on.
Field Name Work Code ‘Cover’ Panel Field Description
Work Code Displays a list of work code options. Select the work code that is covering for this work code. People can only use the selected replacement codes.
  • The non-working code shows the name of the person covering the shift along with the working code applied to the cover.
  • The working code shows the name of the person that is being covered; but not the nonworking code that created the vacancy. For example, suppose Bob is on probation, and Jill covers for Bob, this means Bob sees that Jill is covering his shift and her work code. Jill sees that she is covering for Bob, but does not see his non-working code (the reason for that vacancy).
Assignment Requirement A listing of all the possible assignment requirements for the replacement Person. The person covering the vacancy must be assigned to a particular area of the organizational structure. Choices are: Anyone; Nobody; Same Assigned Institution; Same Assigned Agency; Same Assigned Region; Same Assigned Departure; Same Assigned Location; Same Assigned Position; Same Assigned Shift; Same Assigned Station; Same Assigned Unit.

For example, choosing Anyone allows the user initiating the trade to trade with any qualified person regardless of where they’re assigned to work, whereas Same Assigned Agency allows the working type work code to be placed on any person assigned to work in the same agency as the person initiating the nonworking half of the work code.

Required Enforces the person initiating the shift trade to provide a replacement person. Important: If this box is not checked the person initiating the shift trade request will not be required to enter a replacement and could cause a vacancy on the Roster or affect minimum staffing levels.
Overlap Threshold The maximum amount of time in minutes two shifts can overlap when adding a Cover type work code.
Overlap Work Code A list of applicable work codes that can be applied when an overlapping time-period exists during a specified threshold.
Trade Mode Trade mode enables when a Cover work code is selected, and used to define the shift trade mode. Choices are:
  • One-Way Trade: default and current behavior when configuring Cover details.
  • Two-Way Trade Optional: the user will have the option to initiate a trade using One-Way or Two-Way toggle options. When this option is configured the application enforces traded hours are equal by default via static issue: Two-way trade durations do not match. Available as of application 7.2+
  • Two-Way Trade Required: the user will be required to initiate a two-way trade in one transaction. When this option is configured, the application enforces a two-way trade via static issue: Two-way trade is required. The application also enforces the duration of the traded hours are equal by default via static issue: Two-way trade durations do not match. Available as of application 7.2+

Application Behavior: If a work code configuration conflict exists in a two-way trade then the setting of the initiating work code will persist. Additionally, adding multiple work code records is not allowed for two-way trades; for example, a person selects two days and tries to add two exchange off work codes in one transaction; doing so displays systemstatic issue: Adding multiple records not allowed for two-way trades.1

Note:

When using Edit or Edit Without Rules on a two-way trade record only the times, note, and detail code can be modified, other two-way trade codes if multiple exist are not available for selection in the work code menu of a non-working code.

Trade Period Restrictions The value of this will impose a time limit on the trade. When a user’s input fails the Trade Period Restrictions criteria the application displays the static issue: Two-way trade period requirement not met. Choices are:
  • <none>: Selection valid with One-Way Trade only.
  • Use Pay Information: Select to restrict the user initiating the trade to pay back the trade within the pay period.. Both shifts must be within the same pay period or FLSA period configured in the Pay Information attached to the initiating work code.
  • Dynamic Days Limit: Select to restrict the user initiating the trade to pay back the trade using a definable date range via Dynamic Dates that both shifts must be within.
  • Total number of days: Select to restrict the user initiating the trade to pay back the trade within a certain number of days that the shifts must be within.
Pay Information Enables when Use Pay Information is selected in Trade Period Restrictions. Used to restrict the user initiating the trade to pay back the trade within the same pay period as defined by the Pay Information attached to the work code.

Important: The application verifies the period of the Pay Information attached to the initiating work code - not the pay information attached to the person or persons. For example, suppose Ron has pay information 1, and Lu has pay information 2, the shift trade off work code has pay information 3. Ron trades with Lu, the application will use pay information 3 to determine whether period requirements are met.

FLSA Period Enables when selecting a pay group with FLSA settings in the Pay Information menu. Used to restrict the user initiating the trade to pay back the trade within the same FLSA period.
From Indicates the start date of the payback period using Dynamic Dates. Enables when selecting Dynamic Dates Limit in Trade Period Restriction.Examples:
  • From TODAY ThroughTODAY+14DAYS Used to constrain the payback period from today (date added) and up to 14 days in the future.
  • From TARGET^(02/01/2020,1week,-1)ThroughTARGET^(02/01/2020,1week,1) Used to constrain the payback period to the current week.
Through Defines the dynamic end date of the payback period using Dynamic Dates. Enables when selecting Dynamic Dates Limit in Trade Period Restriction. See examples in From field description above.
Limit Total Number of Days Defines the payback period by days. For example, the user initiating the trade must payback the day traded within 90 days. Enables when selecting Total number of days in Trade Period Restriction. Max limit 999 (3 positive digits).
