‘Switch’ Field Descriptions

Field Name ‘Switch’ Screen Field Description
Switch Record 1 Displays the 1st record information for the type of Switch to be performed. Considering that the order of the Roster is analyzed from the top down, the 1st record represents the top most record.
  • 1st Drop-Down Box: Displays the available non-working type work codes that may be utilized in this field using Move Up/Down or Switch mode. Select <none> to reflect not applicable. Displays available working type codes when using the Copy Up/Down mode.
  • 2nd Drop-Down Box: Displays the available working type work codes that may be utilized in this field. Select <none> to reflect not applicable.
  • Time Slider: This slider shows the length of time of the work code selected.
  • Suppress Assignment: - Suppresses the selected person’s shift assignment. For example, if checked, moving a person from a 7AM assignment start to an 8AM start suppresses the initial shift assignment from 7AM-8AM.
  • Suppress Vacancy - Enables when Suppress Assignment is checked. Used to suppress the vacancy created by the selected person’s shift assignment.
A Green Time Slider depicts Off Duty. A Blue Time Slider depicts On Duty.
Assigned Jobs Displays a list of jobs from Dimensions for the selected user when a work code is selected. A Dimensions product license is required to view the Transfers panel, and at least one of these user permissions must be granted: Roster: View Schedule Transfers and/or Roster: Edit Schedule Transfers.
Labor Categories Displays a list of labor category entries by day from Dimensions for the selected user when a work code is selected. A Dimensions product license is required to view the Transfers panel, and at least one of these user permissions must be granted: Roster: View Schedule Labor Categories,and/or Roster: Assign Schedule Labor Categories.
Switch Record 2 Displays the 2nd record information for the type of Switch to be performed. Considering that the order of the Roster is analyzed from the top down, the 2nd record represents the next record following Record 1.

The Green Time Slider references off-duty time. A Blue Time Slider references on-duty time.
Mode: Switch Select the Switch mode to perform a switch between two employees or records on the Roster. This mode retains a deployed position (checked record) on the Roster when moving personnel to another position. Performing a Switch does not invalidate 'offer' statuses that are often used in sorting lists.
Mode: Switch - Move Down Select the Move Down mode to move an employee appearing towards the top of the Roster into a vacancy further down. This mode is selected when only one record is affected. This mode is automatically selected when a drag and drop movement is manually performed on the Roster.
Mode: Switch - Move Up Select the Move Up mode to move an employee appearing towards the bottom of the Roster into a vacancy further up. This mode is selected when only one record is affected. This mode is automatically selected when a drag and drop movement is manually performed on the Roster.
Mode: Switch - Copy Down Select the Copy Down mode to copy an employee from one position on one shift to an open vacancy on another shift further down the Roster. This option is very useful to quickly keep an employee in their current position and copy them down to an open vacancy that appears on another shift.
Mode: Switch - Copy Up Select the Copy Up mode to copy an employee from one position on one shift to an open vacancy on another shift further up the Roster. This option is very useful to quickly keep an employee in their current position and copy them up to an open vacancy that appears on another shift.
Shift Full Periods Select this option to perform a Switch mode focusing on the full, non-overlapping time periods of the Shift.
Shift Partial Periods Select this option to perform a Switch mode focusing on the overlapping time period of the Shift.
Detail Code Record Type Optional - Select an option to turn on the Detail Code field. Choices are:
  • Off Duty - Creates a detail code for off- duty records.
  • On Duty - Creates a detail code for on-duty records.
  • Both - Creates detail codes for both off-duty and on-duty records.
Detail Code Abbreviation Optional - Used with Detail Code Record Type field. Select the abbreviation type to insert as a Detail Code for each record. Choices are:
  • <none>: if selected organizational level abbreviations are not used.
  • Roster: used to show the Roster month and day. Format (MM/DD)
  • Institution, Agency, Region, Station, Unit, or Position: select an organizational level to show the abbreviation of the selected level as the detail code.

Use case: used to show where personnel came from when switching across organizational levels and useful when custom roster views are created by area to easily see where personnel came from to cover another area.

  Example: Bob is regularly assigned at Unit A, and switched to cover Unit B. The regular duty work code’s abbreviation is reg. Unit A’s abbreviation is A. After the switch the work code next to Bob may look like, regA. Format <work code abbreviation><organizational level abbreviation>
Default Options Non-Working Optional - Work Codes that have been defined with But Still Available appear in the list. When selected, this is the default work code when the Switch screen opens.
