Scheduling Via Job Allocation

A Job Allocation Strategy must be configured in Setup > Schedule prior to use.

To schedule employees using the Job Allocation tool:

  1. Choices are:
    • Schedule all Blueprints on the Planning board: To schedule all of the blueprints in view on the Planning board, click Jobs and select Allocate Jobs. The job allocation panel opens and returns all of the blueprints by default.
    • Schedule some Blueprints on the Planning board: To choose which blueprints to run the job allocation process for, click the pencil icon. Select Advanced Edit Mode. Select the blueprint or blueprints you want to run the job allocation tool for. Click Jobs, and select Allocate Jobs.
    • Schedule some Blueprints on the Staffing board: To access the job allocation tool from the Staffing Board, click Blueprints and Select Blueprints to open the Planning board. Select the blueprints to run the job allocation tool for. Click Jobs, and select Allocate Jobs.
    • Schedule via Auto Job Allocation for Blueprints: To schedule when the job allocation process runs use the Auto Job Allocation for Blueprints task type available in the Task Manager as of application version 7.5. For additional information see Auto Job Allocation for Blueprints.
  2. Review the blueprints. Provide the name of the desired job allocation strategy to return matching items in the Job Allocation Strategy field. To return all job allocation strategies configured in your Setup area type the percentage sign%, or type the underscore _.
  3. Click Save to start the job allocation tool. To view the results, go to the Staffing Board.

As of application version 6.6.1 blueprints running the job allocation process will turn red and show an hourglass icon to indicate blueprints running in the job allocation process. Blueprints running in the job allocation process are not accessible. Blueprints outside of the job allocation process are fully accessible, this means menu options such as Nudge, Publish, Remove and so on enable when a blueprint is accessible. When the job allocation strategy is complete a notification in a green dialog box will display at the top center of the screen to alert you that the job allocation process completed.1 To remove the notification you must close the notification, otherwise it will persist across screens until closed.

  4. From the Staffing board, click Blueprints to return the desired blueprints.
  5. Click Save to run the job allocation strategy

To view the results, go to the Staffing board. Additionally, if idle after the job allocation completed, then you may need to refresh the page to see the blueprints return to their normal selectable state because the job allocation function runs asynchronous2. This allows users to continue using other areas of the application while running the job allocation tool. If you’re on the Planning board when the job allocation completes, the blueprints will return to their normal and selectable state when you take any action that causes the page to refresh.

1 The notification displays across the application except for the Bidding area.
2 As of application version 7.1.9+, 7.2.1 asynchronous job allocation runs execute concurrently for different institutions.
