General Panel

Field Name Field Description
Name The auction’s name.
Effective Date This date creates the start date of the first biddable item and onwards.
Note:

Best practices is to use a hard date in the Effective Date field so that this Auction may be reused in the subsequent years using the Effective Date available to managers in the Manage Bidding area.

  EXAMPLE: Suppose that today is October 1st, 2014 and you need a vacation Auction for next year with biddable items or dates starting as of January 1st and the Auction opens for bidding November 7, 2014 and closes November 21, 2014. Using this example:
  • The Effective date is 01/01/2015 and the start of the first auction item.
  • The From date is 11/07/2014 when the auction is available for bidders to bid on the future items.
  • The Through date is 11/21/2014 the last day bidders can bid on the Auction items available to them.


The application accepts two dynamic date formats: the preferred ISO 8601 format YYYY-MM-DD, and EN_US format MM/DD/YYYY for backward compatibility.This means if you enter September 11, 2017 as 11/09/2017 - the application will read as November 11, 2017. Localization of Dynamic Dates is not supported.

From The Auction’s first active date or the auction’s opening date. If no date is entered, the Auction is active until the Through date. The From date can be used to automatically set the starting date of the Auction’s allowable bidding window. This locks any users from bidding before the defined date without management intervention. Format: mm/dd/yyyy.
Through The Auction’s last active date or the auction’s closing date. If no date is entered, the Auction is active indefinitely starting at the From date. The Through date can be used to set the last date of the Auction’s allowable bidding window, after which no biding will be allowed without management intervention. Format:mm/dd/yyyy.
  Important:

To manually control the From and Through date, leave the corresponding field blank and use the Open auction or Close auction function available in the Manage Bidding area to manually control when the selected Auction opens or closes.

Conditions The Condition field defines when an Auction is active. This field overlaps, but is independent of the active status set in the From and Through date fields.
Bidders The Bidders field designates which List Plan will be used to determine who can bid in a Queue or Preference type auction. This List Plan is also used to sort candidates in some order for a Queue type auction. Additional Targets may be set for this Auction. See Bidders Target topic for more information.
Win Order The Win Order field designates which List Plan will be used to determine who wins what items. This list plan is required for a Preference auction. The Win Order list determines the order of each bidder’s selections from 1-x. The Auction automatically evaluates each bidder’s preferences and assigns the winning items starting from the most desired to least desired items. In advanced Queue type auctions, an additional List Plan may be required to determine the winners (rare usage).
 
Note:

All of the Auction Items may be configured with different Qualification targets which may return various results amongst the bidders when determining the win order.

For example, a total of 7 vacation picks are available for December 25th, however only one Captain rank is allowed this day, depending on the configuration of the auction, this could mean up to 7 bidders can take December 25th off which includes a Captain, and it is possible that 7 non Captain bidders ahead of the Captain close the date before a Captain has the opportunity to bid or the Auction may be configured to guarantee at least one Captain the day.
Description The Description field is a free form text field that allows the auction creator to display additional information about the Auction and in addition to the auction’s name. Up to 254 characters may be entered.
Instructions The Instructions field is a free form text field that allows the display of bidding instructions or the auction status. If the information is different than what was defined in the Description field it can be updated from the Manage auctions interface. The field was designed to provide auction managers a method to disseminate daily information about the auction and it’s status. Up to 254 characters may be entered.
Auction Items These are the items that are potentially available for bidding and winning in the auction.
Auction Item Properties This pane provides configuration details for each Auction Item. Select any Auction Item in the Auction Items pane to view this pane. Please See Auction Item Properties Field Descriptions topic for further information.
Gray Number The application Internal ID.

Advanced Panel

Field Name Field Description
Bidder maximum, Wins per auction Sets the maximum number of bids a user can place during the entire Auction. Typically used for time-off bidding.
Bidder Maximum, Wins per turn Sets the maximum number of bids a user can place per turn. For example, if Max wins = 10, and Turn = 2, then only two bids are allowed per turn for a maximum of 10 wins for the entire auction per bidder. In this example, it would take 5 turns to bid for 10 items.
Bidder Minimum, Wins per turn Used mainly for time off auctions, enter a number of minimum Auction Items a user can receive during the Auction. A bidder must meet the minimum or skip a turn in order to move on.
Institution For organizations who use Institution Focus, only auctions owned by the selected institution are accessible by the defined institution. In addition, it is the Auction's Institution that determines the hard limited information displayed within the auction. This means that hard limited information is hard limited to the auction’s institution, not the bidder’s home institution.
 
Note:

Normally they will both be the same, but it is possible for a bidder to see and participate in an auction belonging to (owned by) a different institution than the one the bidder is logged in to (as long as they are in the bidder’s list). In these cases, the rules (for qualification, for example) will run in the context of the owning institution - not the bidder’s institution.

External ID Enter a Unique ID to identify this auction when used in conjunction with an external system.Rare Usage.

Use Case Example: Employees bid using a Scantron bid form. The Scantron contains a unique auction number identifier which is used as the external ID in Bidding. The external ID is used to reference the unique auction number.

Blind auction (hide competing bids) Used to control whether individual bidders can see other people’s bid selections. If selected, this removes the results pane using the Personal view in Auctions; however, users with Manage Auctions or above authority may see the Results pane.
  For example, in a Queue type auction, suppose that the Blind auction check box is selected. The bidder can see items available for bidding, but can not see who won the items that are not available. If the check box is cleared, the bidder can see who won the items that are not available. In a Preference auction, if selected, bidders can see how other bidders placed their bids and assess the outcome.
Show ‘SOLD OUT’ items (Queue Option) Displays the text “SOLD OUT’ next to an auction item that has zero quantities remaining.
  Configuration Note: It is possible to show SOLD OUT to a bidder with a certain specialty because the limit for that specialty has been met for that specific day.
Check Dynamic Issues on ‘Save’ Select to process Dynamic and Static Issues after the user submits their bid selections and clicks the Save button. Configuration Note:Dynamic Issues may be used to stop bidders from taking more time than banked or prevent a date if they fall short below minimum staffing levels for the selected date.
Allow bid retraction Allows bidders to remove or change submitted bids up until the bids are resolved.This setting only applies to the Personal view. Managers using the Manage and Advanced views are not affected. If selected, Auto Award (on win) disables.
Allow bidders to skip their personal turn Allows the active bidder to skip the current turn. When selected, this option enables the Skip Turn function in the Manage Bidding area.

Screen Title Action Description
Bid Method Two types of Bid Methods are available: Queue and Preference
Bidder Maximum Applies to Preference Auction only. This field controls the total number of Auction items each person is allowed to bid using a Preference Auction. If blank, there are no limitations.
Bidder Minimum Applies to Preference Auction only. Enter a number of minimum Auction Items to enforce a user to bid on the desired minimum number. If blank, there is no minimum to enforce.
Format (Preference Option) This field controls the format in which bids display in the auctions interface. The format is for visual purposes only; any entry should conform to conventional number formats. For example: currency.
Auto order bids (1 - x)(Preference Option) This setting forces the user to order auction items in the order the user has tagged them, such as1,2,3,4. Clear this check box to allow bidders to bid on multiple items equally and use the same number more than once.
Run rules only once per winner (Preference Option) Resolves the win order in a Preference auction. Select this check box to process the Rules once per winner, which is generally the case for Vacation and Position bidding. Clear this check box for Roster type bidding, where bidders may bid on various vacancies on the same day and same time frame. In a Roster auction, clear this check box to process the Rules for each vacancy after each win to prevent the same bidder from winning and working multiple positions simultaneously.
Consider unbid items too (Preference Option) For Preference Auctions: Select this check box to consider retracted bids from users. Also used to resolve the auction for everyone that is active even if they did NOT bid on anything.  This method can be used to force the person to win something; typically, set with Max Win limit otherwise the non-bidder or bidder will win every available auction item. The key to make this feature work is to not use the Win Order rule (Auction Item base rule) under the Qualified if section of the List Target (or List). 
End Queue turn on ‘Save’ (Queue Option) Applies to Queue Auctions only. Select this check box to end a bidders turn upon clicking the Save button. To Start the next bidders turn immediately after the previous bidder completes their turn be sure to select the Active ASAP check box in the Bidders Properties screen located in Manage > Bidding> Bidder Properties.
Auto award (on win) (Queue Option) Applies to Queue Auctions only. Select this check box to automatically place an Award for the Bidder upon their Auction Item win. This phase assigns the time-off work codes or new assignment upon Saving and winning the bid item.If selected, Allow bid Retraction disables.
